The Fourth Phase of Project Management: Monitoring and Control
So far, we’ve explored the first three phases of project management: Initiation, Planning, and Execution. We believe the phase we’re going to be looking at today, Monitoring and Control (M&C), is actually part of the Execution phase (you could call it Phase 3a), but it’s so critical to project success, it deserves its own spotlight. Because without M&C, scope, timelines, and budgets are destined to become wildly off-kilter.
Why Monitoring and Control Matters
Projects rarely fail because a team stops working. It happens, but it’s certainly not the norm. So, then, why do projects fail when Initiation and Planning have gone well and the project reaches the Execution phase? What causes good plans to break bad?
Oftentimes, it’s because the team is working in the wrong direction. Something shiny and new has distracted them or injected work has entered the fray and thrown priorities askew. Other times, it’s because data isn’t being tracked or, if it is, it’s being tracked imprecisely, and decisions are made without true facts at hand.
Monitoring and Control prevents that drift.
The M&C phase prevents disruption, ensures plans remain aligned with reality, and proactively manages resources, risks, and results.
It’s also where trust is built and information and data become key. Stakeholders depend on accurate, timely updates to make decisions. Teams depend on clarity to stay focused. When M&C is done well, everyone involved feels informed, confident, and supported.
During this phase, Stoic ProjectWorks will:
Track progress against baselines. We compare actual performance to planned timelines, budgets, and scope.
Manage changes thoughtfully. Every adjustment, no matter how small, passes through the lens of impact, cost, and benefit.
Monitor quality and performance metrics. We validate that deliverables meet standards and that success criteria remain achievable.
Identify and mitigate risks. We don’t just log risks; we act on them early, communicating clearly when priorities shift.
Keep communication flowing. Dashboards, stand-ups, and a regular reporting cadence will keep everyone aligned and engaged.
